Below is an outline of what SETMA achieved between July 30, 2013 and August 6, 2014.  I think the subtotal may be equaled by others but the time frame will never be matched.  I remember November, 2013 when we found out that SETMA could not qualify for Meaningful Use II.  It was a dark day for me.   Over the next three or four months, we developed a plan, led by Jon and Ricki and Karen.  We have had a very long relationship with Ricki and now find that her colleagues are excellent also. 

Whether it is SETMA’s IT Department or Jon in clinical tool develop or SETMA’s accreditation team, SETMA has set the standard for others to follow.  I am grateful for the hard work and expertise of all who have worked on this project.  Today’s success in using the new system proved once again, SETMA is outstanding.  We are also grateful for NextGen’s support.

Perhaps more than Meaningful Use 2, I am grateful for the preparation this work has done for ICD-10 and SNOMED (see the attached tutorial distributed today on ICD-10 mapping.  SETMA not only now qualifies for Meaningful Use 2 but we are prepared for ICD-10 and SNOMED conversation. 

Ricki, thank you for always being our friend and for your excellence.  Karen, thank you for your expertise and your perseverance.  Jon, in seventeen years you have never disappointed us in your ability to “get the job done.”  SETMA’s accreditation team, you have distinguished yourselves once again:  Margaret, Jayne, Theresa,  and Pat.  For those who spent time this weekend testing the new system:  Jayne, Libby, Corey, Norma, Brandon, Theresa and others, thank you.   We will never be done but neither will we never fail.  You have all distinguished yourself again. Thank you one and all.  Thank you Rickie, Karen and Jon. 

Thank you Bobby, Richmond and all in IT. 

Once again, you have proved SETMA’s ability to face the challenge and to succeed.

SETMA’s Achievements in the past 53 weeks:

Between July 30, 2013 and August 6, 2014, SETMA has completed renewed accreditation (NCQA & AAAHC) o initial accreditation (URAC and The Joint Commission) for Patient-Centered Medical Home and Ambulatory Care, and also for Reference Laboratory Services (Joint Commission) and NCQA Distinction in Patient Experience Measurement.

  3. The Joint Commission == PC-MH & Ambulatory Care -- March, 2014 -- new
  4. AAAHC -- PC-MH and Ambulatory Care -- August 6, 2014 - 2010-2017
  5. The Joint Commission Reference Laboratory Accreditation - 2014 -- 2017
  6. CAHPS - Consumer Assessment of Healthcare Providers and Services, NCQA PC-MH Distinction in Patient Experience Measurement. - annual recognition
  7. NCQA Diabetes Recognitions and Cardiac/Stroke Recognition) - Diabetes 2010-2016; Cardiac and Stroke 2013-2016
  8. SETMA is now ready for ICD-10 with about four hours work when the date arrives.
  9. SETMA is now ready for SNOMED with about four hours work when the date arrives (same four hours as in number 8).

During this time (January 5, 2014 to August 11, 2014), SETMA has also completed the necessary changes to meet the Standards and Requirements for Meaningful Use 2.  In tomorrow's Monthly Provider Training, we will begin the transition to utilize the functions which we have spent eight months developing.

In December, 2013, SETMA appealed to CMS and the ONC for an extension for MU II measures.  We did not receive a response from Marilyn Tavenner (Marilyn.Tavenner@cms.hhs.gov) or from Jacob Reider (jacob.reider@hhs.gov) so we set about modifying our EHR to meet Meaningful Use II.  These modifications were required because of our early adoption (1998) of EHR. 

After eight months, we have accomplished that task. In January, 2015, we will submit data for Oct-Dec, 2014 on our Meaningful Use II compliance. 

A number of people have worked on all of these task, including SETMA’s Accreditation Team (Margaret Ross, Jon Owens, Theresa Bailey, Jayne Bryant, Pat Crawford, Dr. Holly).  As already mentioned, SETMA’s laboratory team including Gary Martin, Tiffany Wilkins, Kathy McBride, Craig Cerny and Amanda Broucher, did an outstanding job achieving Joint Commission Accreditation for our laboratory.

On Tuesday, August 12, all providers will be involved in training for Meaningful Use II.  SETMA’s nurse and front office staff has already been working on their workflow with the new standards.

SETMA has every reason to be proud of our achievements. Congratulations.

Ricki,

As you know from talking to Karen we did have a long weekend.  But, I wouldn’t say it was a bad weekend.  We only had a few unexpected issues but some of them were just time consuming to fix.  However, today has gone very, very well.  It has almost been disturbingly quiet and free of issues!!  I keep waiting for the bottom to fall out and the phones to start ringing off the hook with problems.  JUST KIDDING!  J

Personally, I feel that we have knocked this out of the park.  As you know Karen and Trang were a HUGE part of making this a success.  We could not have done it without them. 

Also, I have to say thank you to Margaret, Jayne, Theresa and Pat  (and others) on our staff for taking the lead on training.  That was also a crucial part in making today go smoothly.

I know we still have some things to address but we are in a very good place today.  Thank you all!
